Facilities Manager - Belgroves Group of Companies





Office Gems is facilitating the recruitment of a FACILITIES MANAGER for the Belgroves Group of Companies.

The Facilities Manager is responsible for developing and implementing strategies designed to increase operational efficiency and performance to ensure the achievement of the annual KPI targets. All activities must be geared towards maintaining the highest level of service to both internal and external stakeholders and must conform to Internal Auditing standards and guidelines and to all legal, statutory, and regulatory requirements.


Duties & Responsibilities

Leadership and Management of Resources

  1. Clearly define and communicate operational objectives to all members of the department
  2. Lead the facilities team including but not limited to training, coaching, planning, evaluating, rewarding, disciplining, and overseeing employee relations for the company
  3. Develop, implement, and review facilities policies and procedures 
  4. Conduct performance reviews of all direct reports, provide feedback and implement measures to improve performance 
  5. Observe all company policies, procedures, and business ethics codes and ensure that they are communicated to and implemented within the team 
  6. Foster a performance driven work environment by developing and implementing performance standards to enhance the effectiveness of each employee 
  7. Develop and enforce department SOPs for each work task or process 
  8. Develop and manage staff KPIs and conduct with the guidance of the HR Department to ensure set objectives are consistently met by the team 
  9. Prepare monthly reports on the facilities based on set KPIs 
  10. Develop and execute strategic operation plans for the facilities department 
  11. Provide a motivating work environment to support the team and other departments where necessary


Effectively manage operations strategies to facilitate operational efficiencies and productivity 

  1. Manage the day-to-day relationships with the Group's key partners to ensure quality service delivery 
  2. Oversee operational systems, processes and infrastructure while looking for opportunities of improvement or revision 
  3. Anticipate and track operational and tactical risks and provide strategic solutions 
  4. Ensure building inspections are scheduled regularly and determine issues to be addressed 
  5. Develop preventative maintenance schedules for all property, plant and equipment 
  6. Manage day to day business of the facilities department while balancing the responsibilities of various business lines such as contractors, vendors, and risk management 
  7. Serve as the primary contact for emergency and urgent equipment and facilities services 
  8. Grow the efficiency of existing facilities’ department processes and procedures to enhance and sustain the Group’s internal capacity 
  9. Address operational concerns and issues, monitoring overall customer satisfaction
  10. Ensure the achievement of the Key Performance Indicators of the department by providing inputs for the development of an annual budget, scheduling expenditure, analyzing, and reporting on variances and implementing corrective action 
  11. Manage timely data collection to update operations metrics to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service 
  12. Identify trends and assess opportunities to improve processes and execution of the operations 
  13. Develop and implement operational procedures and policies 
  14. Develop, implement, and maintain quality assurance protocols to manage performance standards 
  15. Work closely with the management team to ensure all operational, administrative, and compliance functions are being properly executed in accordance with regulatory-based best practices 
  16. Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and participating in professional societies to stay up to date on industry regulations, trends, and technology.


Qualifications

  1. Master’s degree in Business Management/Administration or Operations 
  2. Bachelor’s Degree in Engineering 
  3. Professional certification in Facilities Management 
  4. Professional certification in Project Management 
  5. Proficient in Microsoft Suite (Word, Excel, PowerPoint)


Experience

  1. Minimum of five (5) years’ proven experience in a Facilities Management position 
  2. Minimum of three (3) years’ proven Project Management experience.


Knowledge, Skills and Abilities

  1. Extensive experience in managing partner relationships 
  2. Proven leadership ability to manage and lead a team 
  3. Strong Project Management experience 
  4. Strong Financial Management experience 
  5. Excellent Time Management, Customer Service skills and analytical skills Must be computer literate and proficient in MS Suite
  6. Negotiation and presentation skills 
  7. Excellent communication skills (written and oral)
  8. Strong problem-solving skills 
  9. Must be able to operate independently and as part of a team while managing several responsibilities
