Human Resource Coordinator





​Office Gems is facilitating the recruitment of a HUMAN RESOURCE COORDINATOR for Kelvin Ghany Enterprises Limited.


The Human Resources Coordinator supports the Management Team by being reliable, consistent and dependable in strengthening the Company’s protocols and processes for achievement of best practice standards while ensuring acceptable Industrial Relations Practices.


He/she will report to the General Manager.


The incumbent is expected to lead/pursue Best Practice Human Resource initiatives that will provide an employee-oriented, high value performance culture that emphasizes empowerment, quality, productivity and value added goal attainment, as well as the recruitment and on-going development of a superior workforce.


The Human Resource Officer will be expected to perform duties related to the following areas:


Recruitment and Selection:

  1. Creating and posting advertisements to attract new staff. 
  2. Short-listing candidates for interview by an approved panel. 
  3. Planning and executing/facilitating the interviews (virtual or otherwise). 
  4. Coordinating and consolidating interviewees score sheets and preparing a report with recommendations for review/decision making by Management. 
  5. Alerting and planning next steps for unsuccessful and successful candidates. 
  6. Pursuing, obtaining and circulating independent Background Reference Checks on selected candidates. 
  7. Preparing Job Offers/Employment Contracts for approval/signing by relevant personnel. 
  8. On-Boarding new staff (to include but not limited to greeting existing Directors/ Management and staff, physical accommodations, workstations and sharing of key Employee Handbooks).


Performance Management and Improvement Systems/Programmes: 

  1. Rigidly following the approved systems to manage and improve staff performance using the approved Forms and processes. 
  2. Ensuring that the performance of all staff is reviewed at minimum annually and as performance dictates. 
  3. Reviewing existing systems with a view of improving for increased staff morale while achieving Company objectives. 
  4. Ensuring staff weaknesses are addressed with underperforming staff, with involvement of staff’s supervisor, ensuring minimal time lapse/delays between reward & improvement recognition methods.


Employee Relations:

  1. Representing the Company as the first call for facilitating employees’ concerns and feedback, reporting to management as needed or as the situation requires.
  2. Being the conduit between management and staff for general and specific combination in support of heads of departments.
  3. Maintaining systems to foster an open communication environment via approved media such as emails, bulletins, memoranda, notice board, text and other electronic messaging.
  4. Assisting staff with requests for Employment Verification Letters Fostering good morale and comradery by assisting with the staff initiatives


Employee Ongoing Training and Development:

  1. In consultation with Management and the staff’s immediate Supervisor, and with reference to PARs, identifying areas for re-training, cross training and skills development, whether internal or external.
  2. Facilitating Employee Assistance Programmes as approved by Management.


Compensation and Benefits Administration:

  1. Reviewing staff performance and making recommendations as it relates to compensation reviews/ adjustments for approval by Management.
  2. Pursuing documentation for all compensation changes, ensuring affected staff is duly notified and offers accepted.
  3. Managing the company’s Contributory Benefits Plans Assisting with periodic notification of staff bonuses and incentives with strict adherence to approved Policies.


Organizational and Space Planning:

  1. Assisting with organisation of available space /workstations to maximise work-flow efficiencies and comfort.


Policy Development and Documentation:

  1. Assisting with periodic reviews of Approved Policies and Procedures/manuals.
  2. Creating /modifying procedures for approval by Directors and wide scale implementation


Health Safety Environment Issues:

  1. Fostering adherence to best practice HSE as a member of the HSE Committee.
  2. Assisting with implementation of measures as approved by Directors as it relates to Health and safety.
  3. Assisting with monitoring HSE compliance.


Industrial Relations:

  1. Receiving and documenting staff complaints and grievances. Reviewing, mediating, and/or engaging Management and Third Parties, as authorized, to facilitate timely resolution, legal compliance, and harmonious industrial relations.


QUALIFICATIONS & EXPERIENCE:

  1. Bachelor’s degree in Management Studies/Human Resource Management
  2. A minimum of two (2) years’ related experience in the HR field
  3. Proficient with Microsoft Office applications and Human Resources Management Systems
  4. Working Knowledge of Labour Laws and acceptable Industrial Relations Practices
