Office Gems is facilitating the recruitment of Patient Services Representatives for one of our clients – a private hospital based in west Trinidad. Position Summary:
As a key frontline member of the healthcare team, the Patient Services Representative provides an exceptional first impression for patients, families, and visitors. This role ensures that every interaction is welcoming, respectful, and professional, reflecting the hospital’s commitment to excellence in patient care and service. The Representatives will be neatly attired, approachable, empathetic, and committed to assisting patients with efficiency and compassion.
Main Duties & Responsibilities:
- Warmly greet and assist all patients and visitors, ensuring a courteous and patient-centered experience.
- Accurately register patients, verify demographic and insurance information, and update records as necessary.
- Collect payments and charges following hospital guidelines, ensuring accuracy and professionalism.
- Schedule, confirm, and update patient appointments while providing clear instructions regarding visit requirements.
- Ensure patient charts, reports, and documentation are prepared, updated, and delivered to the appropriate clinic areas on time.
- Collaborate with the filing room and medical records team to avoid duplicate patient entries and ensure accurate patient identification.
- Guide new patients through the registration and orientation process with kindness and clarity.
- Monitor and maintain appointment folders and ensure they are up-to-date and well-organized.
- Direct patients with insurance claims, reports, or referrals to the appropriate personnel or department.
- Contact patients promptly when appointments or clinic schedules change, rescheduling with empathy and efficiency.
- Support the preparation of new patient charts and ensure adequate documentation space is available.
- Assist in compiling daily statistics and reports accurately and on time.
- Professionally answer incoming calls, providing accurate information or redirecting as appropriate, always maintaining a polite and supportive tone.
- Keep the reception area clean, orderly, and welcoming at all times.
- Proactively seek assistance during high-volume periods, ensuring the desk is never left unattended.
- Maintain confidentiality, discretion, and respect for patient privacy in all interactions.
Education, Experience and Background:
- Minimum of five (5) CSEC/CXC/O’Level passes, including English Language and Mathematics.
- At least three (3) years of experience in an administrative/ clerical/ receptionist or related role.
- A certificate in administration or a related field will be an asset.
- Experience in a healthcare environment will be an asset.
- Strong customer service orientation with the ability to manage sensitive situations with empathy and professionalism.
- Excellent interpersonal and communication skills, with the ability to interact effectively with patients, staff, and healthcare professionals.
- Computer literate with experience in electronic medical records (EMR) systems or other administrative software.
- Demonstrated ability to remain calm, organized, and accurate in a fast-paced environment.
Days and Hours of Work
The Patient Services Representatives will be required to work Monday to Friday from 7:00 am to 3:00 pm OR 1:00 pm to 9:00 pm.
