Office Gems is facilitating the recruitment of an EXECUTIVE ASSISTANT for an Industrial Supply Company based in SOUTH TRINIDAD.
Position Summary
The Executive Assistant provides high-level administrative, operational and strategic support to the Managing Director while managing the day-to-day flow of administrative functions within the office. This role requires exceptional organizational abilities, sound judgment, discretion, initiative, and the ability to work independently while managing multiple priorities in a fast-paced environment.
The Executive Assistant serves as a trusted partner to the Managing Director, helping to ensure the efficient operation of the office and the effective management of schedules, communications, meetings, projects and confidential matters. The incumbent will also act as a professional representative of the organization and may be required to visit clients when necessary.
Key Responsibilities
• Manage the smooth flow of administrative functions and day-to-day office operations.
• Manage executive calendars, appointments and travel arrangements.
• Coordinate strategic projects and monitor deadlines.
• Coordinate meetings, conferences, presentations and special events.
• Prepare schedules, reports, presentations and correspondence.
• Screen calls, emails and other communications.
• Prepare agendas, attend meetings, record minutes and follow up on action items.
• Maintain filing systems and confidential records.
• Liaise with clients, suppliers, government agencies and other stakeholders, including visiting clients when required.
• Organize executive events and travel logistics.
• Proofread and format reports and business documents.
• Handle confidential information with discretion.
Qualifications
• Diploma or Bachelor's Degree in Business Administration, Management, Office Administration or related field.
• Professional Administrative Certification is an asset.
• A minimum of five (5) years' experience supporting senior executives.

• Advanced Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Microsoft Teams, Zoom and Google Workspace

Work Arrangement:
In-person
Working Days: Mondays to Fridays
Working Hours: 8:00 a.m. – 4:30 p.m.
